Privacy policy
Effective September 29, 2026. SocialCollab is operated by Intellias Inc ("we", "us").
What SocialCollab does
SocialCollab lets teams plan social media campaigns together: upload photos, videos and audio, write captions, comment, approve, and schedule posts that we publish to the Facebook Pages, Instagram professional accounts, TikTok accounts, YouTube channels, LinkedIn Pages and LinkedIn profiles the team connects.
Information we collect
- Account details: your name and email address, and a password managed by Amazon Cognito (we never see it).
- Workspace content: campaigns, posts, captions, comments, approvals, and the photos, videos and audio you upload, including optimized copies we make of videos at your request.
- Connected social accounts: when someone connects Facebook/Instagram or TikTok, we receive and store access tokens, account and Page names and IDs, the linked Instagram account, the permissions granted, TikTok profile basics (display name, avatar), the YouTube channel name and ID, the LinkedIn Page names and IDs the person administers, and for a LinkedIn profile the person's name and picture. If someone connects through a connect link, we also store the name they enter.
- Emails we send: review requests (with a preview of the post and one-person action links), changes-requested notices and team invitations, sent through Amazon SES to the team's email addresses. Action links are stored only as a one-way hash and expire after 7 days. Anyone can turn review emails off in Settings.
- Media library and emailed content: photos and videos a company uploads or emails to its intake address (content@<name>.socialcollab.app), with the sender, subject and date. The raw email is deleted after 7 days; the files stay in that company's library until someone deletes them. Emails from people who aren't members of the company aren't stored in the library.
- Technical data: standard server logs (for example, request times and IP addresses) kept for up to 30 days for security and troubleshooting.
How we use it
- To run the service: show your team's work, send posts to the networks you choose at the times you schedule, and show the results.
- To check that connected accounts still work (a daily check using the stored tokens) and tell your team when something needs fixing.
- We don't sell personal information, use it for advertising, or read your connected accounts' private messages. We only use data from Facebook, Instagram, TikTok, YouTube (Google) and LinkedIn to publish your team's posts, show connection status and show post stats.
Facebook, Instagram and TikTok
We use Meta's and TikTok's APIs under their platform terms. Tokens are encrypted with a dedicated key (AWS KMS) and are never shown to anyone, including your teammates. Publishing uses only the permissions you grant: for Meta, listing and posting to your Pages and publishing to linked Instagram professional accounts; for TikTok, basic profile information and posting videos or drafts. For Analytics we read the views, reach and engagement of posts SocialCollab published (Meta insights; TikTok video counts). If your company uses Promote, we also list your Meta ad accounts and their saved and custom audiences, create and manage the ads your company approves, and read those ads' spend and results; for this we keep your long-lived Facebook sign-in token (valid about 60 days), encrypted like the others. We don't receive or store payment details.
Where it's stored and who processes it
Ads on LinkedIn, TikTok and YouTube
If your company connects an ad account for Promote, we use that network's advertising API (LinkedIn Marketing API, TikTok API for Business, Google Ads API) to list the ad accounts the person who connected can use, create, change, pause and end the ads your team requests and an owner approves, and read their spend and results. For YouTube ads we also send your brand-kit logo, company name, the video's title and description, and the website link from it to Google Ads to build the ad. Tokens are encrypted like the others, and we don't receive or store payment details.
YouTube (Google) and LinkedIn
YouTube: SocialCollab uses YouTube API Services. When you connect YouTube we ask Google for permission to upload videos to your channel, set their thumbnails and caption tracks, and read your channel's name and your videos' view, like and comment counts. We use this only to publish the videos your team approves and to show their stats. By using the YouTube connection you agree to the YouTube Terms of Service, and Google's handling of data is described in the Google Privacy Policy. SocialCollab's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We don't use Google data for advertising or to train AI models, and we don't sell it or let people read it except to publish your posts. You can revoke SocialCollab's access at any time on your Google Account's third-party access page; a company owner can also disconnect YouTube on the Connections page, which deletes the stored tokens.
LinkedIn: when you connect a LinkedIn Page we use LinkedIn's APIs to list the Pages you administer, post to the chosen Page and read those posts' statistics; when you connect a LinkedIn profile we read your name and picture and post on your behalf. We use this only to publish what your team approves. Tokens are encrypted like the others.
Data is stored on Amazon Web Services in the United States (us-east-2), encrypted at rest and in transit. Service providers: Amazon Web Services (hosting, storage, sign-in, video processing, and speech-to-text for captions when someone clicks Generate captions), and Meta, TikTok, Google (YouTube) and LinkedIn when you publish to them. Media sent to Meta is shared through short-lived links; TikTok, YouTube and LinkedIn receive the files directly.
How long we keep it
- Workspace content: until your team deletes it (deleting a post deletes its media and comments; deleting a campaign deletes its posts).
- Social connection data: until the connection is removed in SocialCollab, you remove the app in Facebook, TikTok, Google or LinkedIn settings, or you ask us to delete it.
- Invitations and connect links expire after 30 and 7 days.
Deleting your data
- Facebook / Instagram: remove SocialCollab in Facebook Settings › Business integrations (or Apps and websites). Meta notifies us and we delete your tokens and account details for every workspace you connected. You can also request deletion through Facebook; you'll get a confirmation code and a status link.
- TikTok: remove SocialCollab in TikTok Settings › Security › Manage app permissions, and a company owner can disconnect it on the Connections page.
- YouTube: remove SocialCollab on your Google Account's third-party access page; a company owner can disconnect it on the Connections page.
- LinkedIn: remove SocialCollab in LinkedIn Settings › Data privacy › Permitted services; a company owner can disconnect it on the Connections page.
- Your account and content: email cmitchell@intellias.net from the address you sign in with and we'll delete your account and any content you ask us to, within 30 days.
